CONSULTANCY PROPOSAL Copyright © 2004 - 2007 The RTM Group Pty Ltd The OPPORTUNITY Continuous improvement through changes in Business Process or Information Technology provides the opportunity to review current work practices and ensure the transition is not inhibited by resistance to change. The RTM Group Pty Ltd, has developed a method for mapping of business processes that includes a greater focus on the participation of staff in both the definition and execution of their work. The use of an external facilitator removes the “baggage” factor and introduces a clean sheet approach to the core processes to be undertaken. VALUE PROPOSITION (Improved Strategic & Tactical Business Performance) Key to business viability and sustainability in today's competitive environment is the retention of skills at a reasonable cost, aligned with an Entrepreneurial approach to business development. Technology and "Smart" business processing provide the ingredients to a workplace that encourages retention of crucial skills, long term loyalty and sustainable growth in any form of business. This is particularly true in the both the Public and Private Sectors. Our Consultancy Service delivers the framework for a cooperative ownership and responsibility matrix to be implemented and accepted by all. The METHOD & ITS OUTCOMES The method is not rocket science – it is based on communication of information. The involvement of key personnel in a review that includes a holistic view of the workplace reduces the element of surprise and rejection of change. For Management, the method has consistently identified requirements for additional learning, better communication of information, a reduction in duplicated or redundant processing and renewed understanding and level of responsibility being undertaken by all personnel. The method assists greatly in overcoming change management issues related to significant changes in the workplace – most staff are uncomfortable with change as they feel threatened by the unknown. The method removes the factor of the unknown. The PROCESS MODEL The method is based around a simple process model as defined below: - The OWNERSHIP & RESPONSIBILITY MATRIX By definition Ownership is with the person who defines and implements the process. By definition Responsibility rests with the person performing the process. A process ownership and responsibility matrix overlays the process models to assist in gauging/managing the future impact of change, for example: -
Immediately, by defining this matrix, we have a support route for all aspects of the business - the Process Owner and the position Responsible for performing the process. The COMMITMENT REQUIRED The real commitment is to have the vision to renew the workplace through communication and understanding of where each individual can contribute. The method requires a management commitment to change where current imbedded work practices may be challenged. THE INVESTMENT REQUIRED It generally takes 10 days including 10 by ˝ day workshops to develop the process framework i.e. process mapping. A further 15 days including 10 by ˝ day workshops are required to develop the detail and to formulate the final outcome that is a strategy document and action plan for the implementation of the identified changes. The elapsed time is approximately 6 weeks and at $600 per day, the total cost around $18,000 ex-GST IN CONCLUSION In the current climate of change it would be of significant value to establish this framework with a clear action plan to improve the workplace through better management techniques and responsive/supportive documentation for change.
